Job Summary:
The Marketing & Engagement Officer will be responsible for managing and executing marketing and communications programs, along with coordinating identified society projects. They will be responsible for cultivating relationships with all stakeholders, maintaining all aspects of day-to-day community engagement through various communications channels. This role involves working on multiple clients and is performed under the supervision of an Executive Director. The role involves liaising with various stakeholders, including board members, committee members and the journal editorial office, while ensuring the smooth execution of a wide range of tasks, projects and initiatives.

Job Summary:
The Marketing & Engagement Officer will be responsible for managing and executing marketing and communications programs, along with coordinating identified society projects. The role involves liaising with various stakeholders, including board members, committee members and the journal editorial office, while ensuring the smooth execution of a wide range of tasks, projects and initiatives.
Responsibilities:
- General
- Assist with the administration of the Secretariat & Liaison Office including mailbox management
- Providing administrative support to the Executive Director(s)
- Coordination of logistical requirements for digital and in-person meetings
- Compile relevant Board of Directors meeting materials, including slide presentations.
- Manage relevant communications related to committees
- Committee application process including confirming open positions, building and sending call for applications, collecting applications and circulating for review
- Programs and Activities
- Support Monthly Webinar activity including liaison with faculty and attendance
- Support Podcast program including liaison with hosts, guests and video editor
- Implement donation program, including marketing donation portal management
- Mentorship Program management including managing the Sub-Committee, building timeline, coordination, reviewing results, managing applications, matching process, templates for letters and forms and communication and instructions
- Early career (ECR) activities including managing monthly meetings of the ECR Committee, organize 3-4 early virtual workshops per year, awards to administer, development of new projects
- Marketing and Communications
- Coordination of promotional materials to promote events through digital channels
- Develop and execute a marketing and social media plan.
- Managing social media accounts (posting, checking notifications and resharing), overseeing social media schedule
- Mailshots to members including developing content, building and sending
- Serve as the media liaison and prepare news releases and daily news briefs
- Research, write, and edit all communications, including newsletters, clinical and patient education articles, human interest stories, brochures, and marketing materials
- Website content updates and maintenance of content, liaison with webmaster for developments and technical maintenance
- Preparation of regular e-newsletters, ad hoc emails and announcements to members on news, activities and projects
- Coordination of association presence at live events, in publications etc
- Maintaining the visual identity
- Support web marketing as required
- Partnerships and Stakeholders
- Developing contacts and seeking partnerships with other national and international organizations.
- Liaise with regional chapters to support membership activities
Requirements & Experience:
- University degree or equivalent. At least 3 years marketing or communications experience. Preference for qualifications in communications, marketing, advertising, or related field.
- Excellent communication and interpersonal skills, with fluency in English; proficiency in an additional language is an advantage.
- Strong service orientation and the ability to work effectively, while managing multiple tasks and meeting deadlines and budgets.
- Highly organized with exceptional attention to detail, prioritization skills, and a disciplined approach to work.
- Proven experience of project management with the ability to effectively plan, oversee and execute projects on schedule and in line with agreed objectives.
- Proficiency in core applications and willingness to learn new systems – Microsoft Office, Canva, Hootsuite, email marketing system, website management system, SurveyMonkey and video platforms like Zoom.
- Strong understanding of digital marketing channels with the ability to align strategy into customer engagement.
- Thorough understanding of an expert-level user of all social media technologies with proven experience of active participation on behalf of an organization/brand.
- Demonstrated skills, knowledge and experience in the design and production of marketing materials, newsletters, press releases, direct mail, email and print materials and campaigns, managing websites, social media and other digital assets
- Proven ability to navigate intercultural relations and diplomacy in a professional setting.
- A proactive, problem-solving mindset, with flexibility and willingness to support colleagues when needed.
- Self-drive with a strong sense of ownership and an ability to work well independently or collaboratively.
- Willingness to travel for work-related activities and events.
